DESCRIPTION :

Role functions include the following: Min of 2 years of relevant experience

• Main contact point for day-to-day operations, oversight of Travel Management Company (TMC), Corporate Travel Card Program commodities and provide guidance and support for Corporate Travel Policy.
• Provide, coordinate and establish training Work Step Instructions (WSIs) and related documentation to the Travel and Corp Card and provide tactical support Travel Expense commodities.
• Proper processing of employee issues and feedback as it relates to the TMC and Corp Card programs in the form of direct feedback and surveys.
• Project and implementation management support of Global, Regional and Country specific Travel, Corporate Card and Travel Expense programs.
• Provide tactical support for Treasury function as it relates to data upload, input and release of wire, ACH and other fund transfers for the support of Corporate Credit card administration and other functions.
• Review and process expense reports.

Travel & Expense Administration
• Support expense reimbursement process via Concur and SAP.
• Review and audit expense reports.
• Field and answer any questions concerning expense reports.
• Follow up on expense reports that are not complete
• Educate organizations travelers regarding policies and travel program initiatives.
• Travel supplier management and operations.
• Corporate and purchasing card program management.
• Optimizing organizations travel supplier base across air, hotel, and ground.
• Using metrics and analytics to identify risks and opportunities and influence users to drive policy compliance.
• Create and maintain profiles within the Concur database.
• Manage the organization Travel Helpdesk / Mailbox. Establish and maintain procedures for TMC review, resolution and logging of customer feedback and issues and create, maintain procedures for escalation with TMC and / or travel supplier vendors.
• Negotiate with airlines and hotels for preferred rates.
• Maintain and update Travel scorecard on a monthly basis.

Corporate Card Management

• Provide optimal customer service support for employee travel and corporate card concerns.
• Assist employees with reconciling, opening and terminating accounts as well as resolving fraud cases.
• Accurately load expense files into the general ledger in a timely manner.
• Monitor the corporate card program and implement, policies, procedures and program metrics.
• Work with HR to update and maintain a master list for active employees.
• Reconcile bank transaction file to actual employee expenditures / expense reports. Remit to bank on a timely fashion.
• Maintain and update approved merchant category codes.
• Generate reports (standard and ad hoc) and provide analysis.
• Conduct periodical audits to monitor cardholder accounts.

Month End Closing

• Prepare and post entries as required.

Qualifications:

• Motivated individual who is a quick learner and willing to work in a fast-paced environment.
• Experience in a customer service and travel industry is plus.
• Excellent personal, oral and written communication skills.
• High customer focus.
• Proficient in Microsoft Word, Excel and PowerPoint. MS Access a plus.
• Demonstrated analytical skills.
• Ability to handle multiple assignments.
• Ability to work in a team environment and manage conflicts.
