Description:

The State is looking to hire a vendor to assist in the implementation of ServiceNows SAM Pro system into the States existing ServiceNow platform. The solution will need to track the complete lifecycle of all Software utilized by the Executive Branch agencies and have easy to use reports/dashboards for various levels of users (agency personnel, DTS software coordinators, etc.)

? The State would like to maintain a ServiceNow SAM Pro system that is as close to out of the box as possible while meeting the requirements of the State.

? The State would like a review of all current set up to ensure best business practices are used within SAM Pro to ensure complete and efficient software lifecycle processes and system

? SAM fundamentals has already been set up by the ServiceNow programmers with data uploaded, basic counters created, software models, and SCCM integration to feed in installation data. The State is looking for a vendor to assist with the remaining deliverables to implement SAM Pro for a complete cradle to grave SAM system.

? The State would also ask the vendor to provide feedback on how to proceed with any data and model issues/concerns to ensure a clean SAM Pro system with good data. Such feedback would include best practices on data reconciliation

? The State has made some customizations to the ServiceNow request form fields, workflows, and software models for our Adobe and Microsoft products (MLA) which will at a minimum need to be re-created/maintained when we go to SAM Pro.

? The State welcomes any/all suggestions from the vendor on improving/streamlining current processes.

? While the scope of this project only includes full set up of Microsoft and Adobe, it is important that the system covers other products going forward.

? Set up to include any connections to cloud dashboards for management of subscriptions for both Microsoft and Adobe

? Will need to have knowledge transfer on how to be successful managing the complete lifecycle of software from other manufacturers.

High Level Deliverables:

The below is a high level list of deliverables for this project. Additional deliverables may be added during the project to ensure a fully functional system is delivered. It is anticipated to have an automated system to manage all software (server, cloud, device etc.) through the complete life cycle.

? Agency should be able to track software

? Ability to verify compliance with vendor licensing

? Documentation of licensing (requirements from vendor)

? Ability to pull auditing information

? Manage software - not just license, but

? Know what the users needs

? Deploy and remove software

? Request, purchase, transfer licenses

? A standard process to include:

? Need

¦ Full kit: are we collecting the information we need in order to complete the review process (who/what/when/where/why)

? Review

¦ Software orders go through Agency approvals (ELCID approval path) - in existing process

¦ Technical approval: catalog of approved software by agency = software that has been reviewed is available for selection and any new/misc. software should go to CTO/Security for their review/approval as part of the workflow (which then adds to the list of approved software) / exception process and approval

¦ Agencies can see what is available within the process flow so they can make assignments or purchases as needed
