Project Identification

• To implement and standup ServiceNows Legal Service Delivery application for OGC, “Office of General Counsel,” the implementation partner must provide a description of the steps required in implementing the application including any specific approaches for configuring the Out Of Box (OOB) application to meet Client needs. The implementation partner must demonstrate a proven ability to understand and apply OGCs user stories, workflows, and objectives to the application in order to achieve optimal use of the application.

• Background The partner will be provided with a document outlining an earlier discovery workshop to listing the legal outcomes desired. This document goes into more detail than necessary to provide context. The partner is encouraged to seek out a further clarification as needed. For this phase, the flows will only be using the legal request, knowledge, counsel center, SLA, notifications, and reporting. The flows will serve to replace the current ad-hoc email-based flows. No optimization of the fulfillment flows (matter management & defined tasks) outside of OOTB LPAs (Eg: Simple Contracts with storage) will be done in this phase.

3. Scope of Work & Deliverables

• Services Required TNDHS has identified, approximately 40 legal workflows, spread across 13 practice areas. For the initial deployment, the objectives are to:

• Identify priority workflows and establish a schedule for delivery and configuration of each workflow to be completed in this phase and in future phases

• Create legal intake forms for these workflows. Route them to the defined assignment groups.

• Define SLAs

• Configure Legal Knowledge (Deflection to KBs based on record producer chosen)

• Configure Simple Contracts Legal Practice Application and link to Adobe Sign and store these documents in Box.

• Setup reporting, Dashboards and Performance Analytics

• Configure and standup the legal portal. (This may be integrated with an existing ServiceNow portal (eg: HR Employee Service Center or a discreet portal)

• Configure email notifications and aliases as needed (eg: email legalsupport@domain.com routes to practice area)

• The implementation partner will be provided access to ServiceNows Legal Service Delivery Implementation Documents and have access the Legal Service Delivery Product team for assistance where required.

• At the completion of the project, it is expected that the system delivered will be a production functioning system according to requirements provided and can be rolled out to internal stakeholders. All user stories and requirements will be met at production roll out.

• The implementation partner will develop and conduct training to OGC on the use of the system as part of the roll-out to OGC.
