Description:

Scope of Services

The primary function of the Project Assistant will be to provide administrative support to the Project Management Office (PMO). This individual will be assigned to a high profile, multi-year project and must be proactive, caring, and organized. They will be responsible for:
1. Being the friendly representative of the PMO
2. Coordinating the flow of communication through the PMO
3. Scheduling all PMO activities, to include reservation of meeting rooms and technical resources
4. Calendaring important dates and deliverables for project stakeholders
5. Shepherding deliverables through the approval process
6. Organizing agendas and taking notes for priority meetings
7. Ensuring status reports are submitted timely
8. Onboarding and offboarding new project staff
9. Organizing project documents in SharePoint
10. Conducting vendor invoices through approval process
11. Reminding the Project Director of upcoming meetings and important tasks
12. Balancing additional work efforts as assigned.

5 Education

Associates or Bachelors Degree in Communication, Business Administration, another related field, or equivalent work experience.

A solid understanding, demonstrated knowledge and experience working with Microsoft Office (Word, Excel, PowerPoint, and Outlook) are requirements for the incumbent in this position. Proficiency in Microsoft Excel, Word and PowerPoint is required. Experience with Microsoft SharePoint is a plus.

6 Experience

Experience accessing and working with FLAIR, MFMP Buyer and Sourcing applications is required.

Five (5) plus years of IT business office, executive assistant, advanced administrative assistant or related work.

7 Primary Job Duties/ Tasks

The submitted candidate must be able to perform the following duties and/or tasks:
1. Provide full administrative support to the Project Director including; document drafting and proofing, communicating through multiple platforms, organizing files for document retention in SharePoint, scheduling meetings and conference rooms, and communicating out to project team members.
2. Coordinates procurement processes for the project hardware, software and human resources, etc.
3. Track available hours for all staff augmentation resources and provide appropriate notification to individuals.
4. Monitors budget transactions in the FLAIR and MFMP systems.
5. Supply information and data, as requested.
6. Complete the necessary project status reporting as required by the Project Director, Stakeholders, and Executive Leadership, and the Agency for State Technology.
7. Manage and update project status tracking.
8. Filing reports for document retention purposes.
9. Works with the Project Director to prepare and maintain budget reports.
10. Proactively undertake other duties, as assigned.
