Once the Agency response to the vendor questions is posted, the bids will be called for with a new closing date. ( When the posting status up date changes from Questions, to "Answer" The agency responses will be availalbe below in attachments with a request and due date for bids) 1.2 Scope of Work Validate the processes currently used by DABC to… ? Extract data from the Dynamics AX system and push to FINET ? Pull Information that is generated in FINET and insert into Dynamics AX ? Validate financial functions and process used by the Accounting team at DABC ? Set procedures to follow to balance each account in Dynamics AX to FINET ? Give the DABC tools that will help them analyze accounts and avoid potential associated risks in accounting Projects/Training requested by Finance 1. Agencies who sell their own manufactured products, classified as “Type 5” products, need to be integrated into AX and posted to FINET through the SSJ. Currently, the process is completed through manual entries into FINET mostly bypassing AX. 2. Address current practices for management/value of supplies as they transfer from the main warehouse to stores and package agencies. Recommend future practice based on AX best practices. 3. ACH auto post: Currently the ACH transactions are posted in AX manually. Finance is requesting that this process be automated and that ACH sales are posted in AX similar to other transaction types. 4. Product Returns: Certain product return transactions are required to be processed by the office instead of at the store. This is currently a manual process bypassing AX. A procedure needs to be created so that each of these transactions are processed in AX and then posted in FINET. 5. Type 5 Bottles Sold: The total bottles sold at the various type 5 package agencies (see 1.2.1) needs to be added to the total monthly bottle sales for the department. 6. AX Training for finance Staff: A. Cash reconciling and adjustments B. Accounts Receivable reconciling C. Accounts Payable reconciling Requirements Validate the day-to-day processes used by the DABC accounting team are correct. Processes will be put into place that DABC can follow to reconcile Dynamics AX to FINET. Insure DABC is using best practices with the day-to-day operations in all areas of accounting procedures and processes. Help establish set procedures and workflows which will allow consistency within the department. Identify knowledge gaps of system abilities and provide a training proposal to close these gaps. Compliance 1. It is the Vendors responsibility to evaluate each position within the Accounting department and create processes which incorporates Microsofts best-practices with the use of Dynamics AX 2. Identify those transactions that need to be input in the FINET system 3. Ensure those items being extracted out of the FINET system are being inserted into Dynamics AX correctly Project Deliverables 1. Monthly processes to reconcile Dynamics AX and FINET 2. Establish set procedures to insure transactions are being properly entered and processed in Dynamics AX. 3.
