Once agreed upon, the proposal/scope of work will become the Attachment B Scope of Work in the State of Utah Contract IT2462. Scope of Work: These projects will leverage the existing Microsoft Access Software already found within the UTARNG-ERM computer system and the data server where financial data are stored on the network. NGUT Ledger Tool Before the development of the database and its customized tools takes place, it will be necessary to review the Microsoft Access database, relationships and queries along with the customized reporting tools that have been developed so far. The Ledger Tool exists with the use of two Access Databases. One is intended to be the repository for all the accounting data and the second is intended to be the customized reporting database that draws from the first in order to report using the second.This Ledger Tool allows the user to define the line item accounting identification code used during the setup of GFEBS accounts at the beginning of the fiscal year. It also enables the budget analyst to determine the costing factors relative to the NGB STEP budgeting process After understanding the status of this Ledger Tool, the following changes to the objects and classes within the Ledger Tool Database will be completed with the oversight of the ERM budget analyst: • Edit Obligations - incl proj #, proj name, AMSCO and LOA • Mission Travel (MT) = % and $ still need to be manually adjusted; Can we just enter MT amount and Ledger Tool will automatically divide among # of employees instead of manually entering each employees portion from the Rounding Template? • Obligation Report Summary Report - need to back out/close window before can do any new FY search. • Salaries (includes Interns/Seasonals) - % Total not 100%; Amount Total not matching the entered Salaries amount; Need to manually enter amounts to match Rounding Template. • Add to "New Obligation" type - "Travel" • Contract/PO # field in Edit Expenses - debug error when using Text Filters/any other filters. Once the necessary changes and updates to the database are complete, this project will update the reporting functions of the Ledger Tool in support of further accounting reports so that the Budget Analyst can see and identify issues with various data entry processes. This project will also allow time for user support and minor modifications throughout the year in order to ensure a successful implementation of the changes. Working within the scope of this project will require the developer to gain a trusted level of security clearance in order to access the databases on the server and test the Ledger Tool.
