The minimum requirements needs for the research software are: • 12 month license, 6 Users, 1 Theme, 12,000 Responses • Training and Support Translation Tool Survey • Mailer Table of Contents • Software created and in use by July 24, 2017 • Advanced website targeting • Data ownership by NDDoH • Data analysis: Real-time reporting, flexible dashboards, text analytics, NPS and benchmarking • Use of surveys, messages, and libraries to be collaborated or shared • Provide multi-rater assessments, employee engagement surveys, hierarchical reporting, and onboarding feedback and exit surveys • Support integration with external systems (CRM platforms, email service providers, analytics and reporting platforms). Other integrations include Microsoft Dynamics, Adobe, Oracle, SAS, Twitter, Facebook, SQL server, PeopleSoft, Google • Ability to control individual permissions for their accounts, web intercepts, dashboards and surveys • Web Intercepts • Library of surveys, questions, and images that can be used for survey creation only • De-duplication within distribution lists for more targeted outreach • Subject matter expertise • Short Message Services (SMS) • Ability to manage the various user accounts and the ability to control the survey approval process that requires surveys to be previewed and approved before distribution • Ability to visualize data in real time, filter results for permission-based access, and allow for text analytics and closed-loop case management Justification: The NDDoH has reached a level in conducting surveys that requires a higher level of security, integration with external systems and advanced website targeting. The NDDoH identified the product - Qualtrics - since it meets the NDDoH requirements. Qualtrics LLC is a vendor that is an advanced survey tool. Qualtrics will allow the NDDoH to improve data collection, securing PHI (protected health information) data, assessment, evaluations, testing/scoring, along with survey research. The NDDoH will be able to utilize this tool to meet the needs of the programs for not only surveys, but also analysis, reporting, graphing, cross tabulation, and data ownership. The security offered by Qualtrics includes SAS 70, HIPAA and US Safe Harbor regulations and is FERPA compliant as part of their safety and security standards. As an additional layer of protection, the granularity of security within the system itself allows multiple users, but does not allow all users to see every survey or access to all data unless the NDDoH gives permission. The Qualtrics platform supports integrations with external systems. The advanced website targeting allows feedback software to pinpoint web visitors with targeted messaging. The reporting, question building, and analytic tools are offered in this tool. Qualtrics also offers the capability of importing historical data into this tool for trend analysis, GIS capabilities, and we are able to utilize email or texting capabilities to send this survey out increasing the response capabilities. Qualtrics also has the ability to import and export into MAVEN, the NDDoHs electronic disease reporting system.
