For ICMS/NCAWARE amendment, Brazos, and ICMS non case mgmt. applications. • Managing Contract Id and contract correspondence in line with SaaS & SOW agreement o Track Tyler submissions to the ID and responses for non PCRs o Send requests for approvals and/or comments for rejects o Complete Deliverable Acceptance Forms for Comments o Obtain Program Manager initials and NCAOC Chief Business Officer signoffs o Scan and send acceptances o Maintain audit files for accepted Deliverables • Manage ePMO meetings for program meetings (agenda, minutes reviews, minutes, and action item follow-ups) o Meetings include Thursday Tyler AOC executive status meeting, and quarterly Horizon Planning meeting o Manage setup for meetings to avoid delays. Manage ePMO meeting id o Maintain history of closed action items and issues • Manage Vendor Deliverable Tracking o Manage reporting (Tuesday and Thursday reports of status) o Manage follow-ups to track completion of next steps o Coordinate review of deliverables and artifacts o Ensure deliverable status communicated and interlocked with project manager tasked with project plan tracking o When vendor invoices come in, initial deliverables have been paid • Manage SharePoint for Program Deliverables o Manage workstream update contacts o Store and manage project status reports o Manage and store management system meeting documents o Ensure SharePoint in audit ready position o Store hardcopy originals • Manage Risk and Issue status o Ensure Issues and Risks are updated at least weekly o Ensure compliance to signed PMP-Risk and Issue document o Ensure highest risks and issues are getting appropriate attention o Produce risks reports across all programs. • Manage and ensure compliance to ePMO signed PMP documents o ePMO PMP – Communications document o ePMO PMP – Scope Change Management document o ePMO PMP - Project Charter document • Manage Status Reporting from Vendor o Coordinate reviews and approvals with Program Manager and NCAOC executives • Manage Program Cost Mgmt. including vendor hours for Development o Track and report vendor hours against customizations and integration to appropriate reviewers and approvers o Maintain hours budget that AOC management always knows the remaining unallocated hours o Track Opt In and Opt Outs for PDDs • Audit o Maintain all compliance and audit files o In Future – Be Audit Focal point • Additional duties as assigned by Program Manager(s) or Executive Sponsors.   Call 502-379-4456 Ext 100 for more details.
