Description:

The Connecticut Technical Education and Career System (CTECS) is a state-wide school system of 17 high schools, 3 adult education training centers and a home office (21 total locations). We are looking for a company that has extensive experience in Intranet design, development, implementation and ongoing support for medium to large organizations. CTECS currently has nearly 1,700 employees.

CTECS currently uses an employee intranet platform developed in-house approximately 15-20 years ago. It has become unmanageable and inaccessible over time with excess content and the inability to easily update.

Utilizing SharePoint and CTECS current Microsoft/SharePoint licensing, we are seeking a streamlined and responsive user employee portal interface that meets our business requirements with a strong focus on internal two-way communication, employee engagement, and document management. We are requesting design, development, implementation, training of staff, and ongoing support for a new employee intranet.

The employee portal sitemap will reflect CTECS central office departments, not the individual school locations. We anticipate no more than 8 top-level navigation categories (i.e. About Us, Departments, Policies, Form Center, etc…). These categories will house multiple subcategories (i.e. Departments -> Human Resources).

Migration of content from the old intranet to the new employee portal will be limited and consist mainly of pdf and Microsoft Word documents.

Training will be required for content creators only; < 25 individuals.

Portal required features: Ability to host multiple file/media formats; Ability to access remotely and securely, with password protected sections; Search and tagging system for content; Document management; Responsive design; Robust search capabilities; Newsfeed.

Services Requested: Project management; Client consultation and identification of business needs; Design, development and implementation of employee intranet in accordance with CTECS brand standards; Product testing; ADA compliance with WCAG 2.1; Regularly scheduled meetings to address issues and provide two-way feedback; Support launch and provide technical training needs; Help desk support - 2 hours or less - emergency response time (i.e. site down, non-functional); 4 hours or less - non-emergency response time (i.e. slow responsiveness); Onsite and remote support and training as agreed upon

Proposals selected to move forward in the process will be invited to a proposal presentation with CTECS. The contract for the development and ongoing support will be for a period of 1 year, but the possibility of renewal.
