Scope of Services

Application Services is looking for an Office Operations Coordinator to assist the with daily administration activities for the Application Services Office. The Coordinator will be responsible for reviewing and disseminating correspondence throughout Application Services. In this position, the Coordinator will serve as an extension of the Office Operations and Process Manager and will be responsible for the coordination of daily operations, supply and inventory management, and logistics synchronization.

Education

Associates or Bachelors Degree in Communication, Business Administration, Computer Science or other related field. Or equivalent work experience.

Experience

Two (2) plus years of relevant work experience.
Proficiency in Microsoft Office Suite, particularly Excel, Word, PowerPoint, highly desired.

Primary Job Duties/ Tasks

The submitted candidate must be able to accomplish the following duties and/or tasks, in addition to performing other duties as assigned:
Daily Operations:
1. Coordinate with the Service Desk for hardware and software set up.
2. Assists with daily Application Services Office operations and provide general administrative support.
3. Reviews and disseminates correspondence and other documents to the Application Services Office using judgment to ensure that policy and procedures are followed, that items are responsive to the issues under consideration, and that content and quality are appropriate.
4. Responsible for overall coordination, reporting, and stability of coordinated office work efforts
5. Assists with the development and distribution of office-wide announcements to staff regarding important agency and Division issues, assist in the implementation of new employee onboarding, communicate employee acknowledgements and recognition as directed by Division leadership, and facilitate ongoing meetings with Division support staff to identify and resolve issues to increase operational efficiency.

Inventory Management:
1. Catalogues inventory of office supplies for the offices.
2. Ensures supplies are in stock and available for office consumption.

Logistics:
1. Provides Administrative support by managing the in-goings and out-goings of non-Departmental visitors.
2. Assists the Office Operations and Process Manager with the maintenance of an electronic filing system for documents related to Division operations (SharePoint).
3. Coordinates communication with all areas of the office that impact resources of the work effort being managed.
4. Provides support to the Application Services Manager and the Application Services Office leadership through the maintenance of calendar and coordination of logistics for conferences, meetings, conference calls and other division events.
5. Assists, coordinates as appropriate, and supports Division sponsored training and other events and activities.

Customer Service:
1. Provides high level of customer service by providing status and information to the customer.
